Position Overview

We have a new and exciting opportunity for a Family Law Assistant/Secretary to join our friendly team at our office in Glossop.

Our thriving Family Law team deals with the full range of matters. This role will see you working closely with a Partner and a Senior Solicitor on a mixed caseload of privately funded divorce and finance matters, separation, cohabitations, pre/post-nuptial agreements, Private Children’s Act etc.

You will liaise directly with clients and third parties over the telephone, in written correspondence and face to face, as well as draft documents and support team members with diary and file management which will include opening and closing files, client onboarding and any other administrative duties as required.

Responsibilities:

  • Opening new files on the firm’s case management system including conducting conflict searches
  • Preparing and sending out the initial documentation including the client care pack
  • Setting up the electronic ID and proof of address verification process for clients to complete
  • Assisting clients with the completion of initial documents and ID checks, as required
  • Dealing with any queries about the initial documents and ID checks, usually by telephone
  • Keeping clients fully updated about the progress of the onboarding process
  • Keeping the case management system and any third-party applications up to date
  • Transcribing correspondence and documents from digital dictation or handwritten notes
  • Drafting emails, letters , documents, forms, bills etc
  • Preparing court bundles in accordance with Court protocol and supporting fee earners with trial/hearing logistics
  • Making appointments by telephone and confirming details in writing
  • Speaking to clients and others on the telephone and in person, requesting information and taking/relaying messages
  • Making enquiries, checking balances and requesting payments in the electronic legal accounts system
  • Dealing with a mix of general administrative duties and tasks as delegated by the Family lawyers to include photocopying and scanning
  • Supporting the Family Law fee earners and general assistance for the team
  • Organising and managing electronic and physical documentation
  • Sorting, prioritising and putting post with files for Fee Earners

Skills needed:

  • Strong legal skills and proficiency in Microsoft 365 software
  • Ability to use own initiative
  • Ability to work in a fast-paced environment, under pressure and to strict deadlines
  • Excellent attention to detail and problem-solving skills
  • Ability to confidently multitask, prioritise and assist with a varied and sensitive workload
  • Outstanding client care skills
  • Excellent written and verbal communication skills, and confidence to liaise with clients, courts, legal suppliers and colleagues
  • Ability to work well as part of a team or independently
  • Excellent organisation and time management skills
