Position Overview
We have a new and exciting opportunity for a full-time Private Client Assistant/Secretary to join our friendly team at our office in Glossop.
Our thriving Private Client team deals with the full range of matters. This role will see you working closely with a Partner and other fee earners on interesting and varied matters including the preparation of Wills, the probate and administration of Estates and the creation of Lasting Powers of Attorney.
You will liaise directly with clients and other third parties over the telephone, in written correspondence and face to face, as well as draft written communication and support team members with diary and file management which will include opening and closing files, client onboarding and any other administrative duties as required.
Responsibilities:
- Taking full details from new clients and providing them with quotations
- Opening new files and preparing matters for closure
- Liaising with clients, executors, beneficiaries, financial institutions, funeral directors, The Probate Registry, estate agents, charities etc
- Keeping the case management system and any third-party applications up to date
- Audio typing and word processing of emails, letters , documents, forms etc
- Making appointments by telephone and confirming details in writing
- Speaking to clients and others on the telephone and in person, requesting information and taking/relaying messages
- Making enquiries, checking balances, requesting payments, preparing bills and submitting receipts in the electronic legal accounts system.
Skills needed:
- Strong legal skills and proficiency in Microsoft 365 software
- Ability to use own initiative
- Ability to work in a fast-paced environment, under pressure and to strict deadlines
- Excellent attention to detail and problem-solving skills
- Ability to multitask, prioritise and assist with a varied workload
- Excellent written and verbal communication skills, and confidence to liaise with clients, third parties and colleagues
- Ability to work well as part of a team or independently
- Excellent organisation and time management skills.
